How to change the tracking type on an inventory item

Overview

Inventory can be tracked by Serial number, Batch number, or not tracked at all.

If an item is tracked, then every time there is any transaction involving that item, its tracking number (either serial or batch) needs to be provided by the user to tell the system which batch or serial number is being transacted.

The tracking type of an item is set per Warehouse, meaning you can have the same item tracked in one warehouse but not tracked in another.

An item's tracking type cannot be changed while there is stock on hand. This is because if you decide to track an item that was previously not tracked, Accentis Enterprise would not be aware of the serial or batch numbers that are supposed to exist for the item.

To change the tracking type of an item while you have quantity in stock, you will first need to remove the stock then re-add it to assign the relevant tracking numbers.

Changing tracking type when there is no quantity in stock

  1. From the main toolbar, navigate to the Inventory form (Inventory > Inventory…).
  2. Fetch the item you are looking to adjust.
  3. Navigate to the Warehouses tab and select Edit.
  4. Highlight the relevant warehouse and select the new tracking type.
    1. Repeat this step for any other warehouses need to adjust.
  5. Select Update to save your changes.

Changing tracking type when there is quantity in stock

  1. Create a Stocktake or Stock adjustment to adjust the item so that the quantity in stock in zero.
    1. You can use a clearing account for the G/L account because in the following steps, the item's stock will be going back in again.
  2. Update the tracking type for the item using the Changing tracking type when there is no quantity in stock process.
  3. Create another stock adjustment to bring the items back into stock.
    1. This time, now that the tracking type has been changed, you will be prompted to enter tracking numbers for the new stock.
